Considerations for the Tom The Jazzman Collection
Constant Data for CDs in RDA (for original or upgraded records): In Connexion, open a record and go to Edit--Constant Data--Online--Apply from List. Click "OK" without entering a search term. Then highlight "RDA CDs" and press the "Apply Selected" button.
In addition to the standard fields to check when copy cataloging CDs, the following are of special importance to jazz recordings:
007 field: Sound recording characteristics (check if present, add if not present)
Will usually look like this: s $b d $d f $e s $f n $g g $h n $i n $m e $n d
Occasionally you may see one that looks like this: s $b d $d f $e s $f n $g g $h n $i n $j m $k m $l n $m e $n d
The important subfields to check are the $e and the $n. The $e represents stereo or mono. "s" indicates stereo, "m" indicates mono, and "u" indicates unknown. The $n indicates recording characteristics. "d" is for digital recording, "e" is for analog recording, and "b" is for pre-1945 electronic recording. It's safe to assume that all music recorded between 1945 and 1985 are analog recordings. Some CDs have a three letter combination - "DDD" indicates a digital recording, while ADD or AAD indicates analog recording.
508 field: This field is for production information. Transcribe this information from the CD or accompanying materials if it is important or particularly prominent.
508 _ _ Produced by Cindy Scott.
511 field: This field is for performers. Transcribe this information from the CD or accompanying materials. Use your own discretion on which performers to name; for example, if there are five performers, name them all. If there are 30 performers, perhaps only name the “big” names. If necessary, distinguish those figures who are only featured on some of the tracks.
511 0 _ John Autin, piano and vocals ; Roland Guerin, bass ; Herlin Riley, drums ; Jeff Coffin, tenor sax (2nd track) ; Kyle Cripp, tenor sax (5th track) and clarinet (10th track) ; Tim Laughlin, clarinet (10th track) ; Tracy Griffen, trumpet (1st track) ; Brent Rose, tenor sax (1st and 6th tracks) ; Ed Petersen, tenor sax (8th track) ; Rick Trolsen, trombone (1st and 9th tracks) ; Brain Seeger, guitar (3rd, 7th, and 10th tracks) ; Milo Mannino, trumpet (10th track)
518 field: This field is for information on the recording session. Record where and when the album was recorded. Note if different tracks were recorded at different times or places.
518 _ _ Recorded at Bias Studios, Springfield, Virginia, July 11-12 and August 23, 2009.
505 field: All records should have 505 fields with contents notes.
7XX fields: Create an added entry for each performer named in the 511 fields, up to four performers. (If there are more than four, do not create added entries for every single name; if possible, choose a single "prominent" name to assign an added entry.) Single names get a 700 1 _ field; bands or other groups get a 710 2 _ field. Search first for an authority file for the name. If one is found, use that (make sure you choose the right one; look for information identifying the figure as a musician). If not, you may still create an entry, but it will not be controlled. All entries are [Last name], [First name].
Add a $4 relator code after the name in AACR2 records. The appropriate codes are:
$4 prf (performer)
$4 sng (singer)
$4 itr (instrumentalist)
$4 pro (producer)
700 1 _ Scott, Cindy. $4 pro
700 1 _ Autin, John. $4 prf
700 1 _ Guerin, Roland. $4 itr
See a larger page on creating headings here.
Things to remember: Only use records with Desc: a or i and ELvl: I or [blank]. All others should be handed off to the music cataloger. Some of them may be okay to use, but the cataloger should take a look first.
