Music Cataloging Procedures
Withdrawal/Discard -- Serials

This procedure is for withdrawing serials, for example, journals.  We often withdraw journal volumes when we have ongoing adequate online access.

All holdings being withdrawn, and subscription is cancelled:

1. Find title in Symphony

2. Ensure that you have all the volumes and that all should be withdrawn.

3. Serial Control -- Remove Control.

a. Find bib record.  There may be 2 controls, one for current periodicals and one for bound volumes.  Remove both of them.  After selecting the control, you still have to click “remove control” a second time before it actually is removed.

b. If it says "This control has issues" - it is OK to click "remove anyway."

4. Follow the discard procedures for monographic items at http://web.lib.ecu.edu/music/cataloging/withdraw.htm

5. If there are open orders attached to a call number, Symphony will not allow you to delete it. Contact someone in Serials Acquisitions to remove/move/edit the order info.

Only some holdings being withdrawn:

1. Find title in Symphony.

2. Determine which bound volumes you are withdrawing & whether we are still receiving current issues.

3. If we are no longer receiving current issues, remove the control for the current issues (otherwise leave it alone)

a. Serial Control -- Remove Control.
b. Find bib record & remove the control from the MCP (music current periodicals) control.  This is often the one which has an alpha name, not numbers, for the control.  After selecting the control, you still have to click “remove control” a second time before it is actually removed.
c. If it says "this control has issues" - it is OK to click "remove anyway" if you are getting rid of that entire control.

4. If we are withdrawing some, but not all of our bound volumes:

a. Serial Control -- Modify Control
b. Find bib record & Select the control to modify (i.e. the one that is NOT MCP)
c. MARC Holdings tab
d. Again select the control to modify (i.e. the one that is NOT MCP)
e. Edit the 866 fields so they only represent the volumes we are keeping.
d. Save & close

5. If there are open orders attached to a call number, Symphony will not allow you to delete it. Contact someone in Serials Acquisitions to remove/move/edit the order info.
