School of Music CDs -- Full Cataloging in OCLC
Note: We are currently doing full cataloging in Symphony, not OCLC. See the School of Music CDs -- Full Cataloging in Symphony procedures. NLN 8/24/2007, 11/23/2009
1. ECU provides full cataloging for School of Music CDs, including adding the bib records to OCLC and to Symphony. You will receive programs from the Music Library. The Music Library has already processed and assigned numbers to the CDs and created extremely brief bib records (099, 110, & 245 only) and item records for them. You will catalog from the printed program, creating a new record to be added to OCLC.
2. Create a new bib record in Connexion, using the Sound Recordings format and applying the Recital constant data record. (In case the constant data record is ever lost, here are the contents.)
3. Edit the following fields:
033 __ $a Code the date YYYYMMDD, i.e, April 11, 2002 = 20020411
048 __ $a Code for instrumentation
099 __ $a CD-#### [Enter the number written on the printed program]
1xx & 245: Take from the program, following standard AACR2 format. After adding the bib to OCLC, you will add the date to 245 $n.
260 __ $c YYYY.
511 0_ $a Performer, voice range/instrument ; Performer, voice range/instrument ; Ensemble ; Ensemble Conductor, conductor.
518 __ $a Recorded [date] in A.J. Fletcher Recital Hall, East Carolina University, Greenville, N.C. [Most will be recorded in A.J. Fletcher. If not, substitute the correct location.]
505 0_ $a Title ; Other title by same composer / Composer – Title. Part of title / Composer, etc. [Enter the titles and composers, following standard 505 formatting.] 505 Cheat Sheet (Word document). 505 is the last note, except for 590.
700 1_ $a Performer. $4 prf
710 12 $a Ensembles. $4 prf
**Enter all performers and ensembles. For ensembles, enter the ensemble name, the conductor, accompanist, and soloists, but no other individual members of the ensemble. For ALL names, first search the Library of Congress Name Authority File (available within Connexion or online at authorities.loc.gov) Control each heading. This includes both personal names and corporate (ensemble) names. If a heading is not in the NAF, you may also search Horizon or the OCLC bib file for forms of heading, but you will not be able to control it. The Music Cataloger will check all uncontrolled headings.
4. Save the record in the shared bib file in Connexion. Email the Music Cataloger to say you have records ready for review.
5. The Music Cataloger will review the cataloging. This includes:
A. Basic review/checking of the cataloging.
B.Checking all uncontrolled headings (contacting the performers for more information (such as birthdate) if necessary, and creating authority records in OCLC if authorized.
C. Adding subject headings.
6. When the Music Cataloger returns the bib record,
A. Make marked edits, validate, spell check.
B. Add bib to OCLC
C. Add $n with the date to the 245. ****It is very important to enter the date in the 245 $n in the full, written, out form, i.e. November 27, 2004 or February 23, 2005. Patrons commonly search on the date and we must enter the dates consistently or they won't be able to find the CDs.****
D. Export your record, importit into Horizon, and merge it with the extremely brief bib created in Horizon by the Music Library, with your record surviving.
