Music Cataloging Procedures
Rush Requests
Patrons may submit rush cataloging requests for materials being worked on by cataloging. Music rush requests are normally received via the Rush Cataloging Request Form, linked in the catalog and available at: http://www.ecu.edu/cs-lib/techsrv/rush-request.cfm. Rush requests are normally handled by the music cataloger. These instructions are for when the music cataloger is absent and an item needs to be processed rush for a patron.
1. Locate the item. Make sure (by comparing the info on the rush request with the item & the Symphony info) it is what the patron wants, i.e. score, recording, video, book, etc.
2. Catalog and process the item as per normal. There is ABSOLUTELY NO REASON for media items to go out without complete physical processing, since media items are processed in-house. For scores, try to bind the score if at all possible. If it can be bound in-house, contact pres/con to see if they can do a rush bind. However, if necessary, scores may go out without binding. If the score would not normally receive a barcode before binding, write lightly in pencil "temporary barcode" and the temporary barcode (usually OCLC# plus extra dashes/zeros) where the barcode would normally go. Add a checkin note to the item record to return the item to the music cataloger for binding upon checkin.
3. Put the item on "hold" in Symphony and on the physical hold shelf, and contact the patron to let them know their item is ready.
** We normally promise rush requests within 2 business days. If the music cataloger is out and will not return within 2 days, another staff member can do a temporary cataloging job so the patron can have the item. If you know how to download records from OCLC, download an OCLC record. If you do not know how to download records, flesh out the brief bib record in Symphony. Do not spend a lot of time on this, but we do need to have enough information so that if the patron loses the item, we can tell what it was. Make sure to process the item as per normal! Add a checkin note to the item record stating the item needs to go to the music cataloger upon return.
