Music Cataloging Procedures
CD Copy Cataloging -- Record Editing Instructions (RDA)

This document is meant to accompany the standard DVD video recording copy cataloging document found here. It will provide updates and new rules that the copy cataloger should be aware of when approaching an RDA record. This is not a complete list of all fields that the copy cataloger should check, but only those fields in which RDA practice differs significantly from previous cataloging codes.


Check to make sure the record is RDA

100 Creator (Personal name),

Composers of musical works on a DVD do not get personal name entries in the 100 field. Instead, they should be entered in the 700 field.

245 Title and statement of responsibility.

Like AACR2, in RDA the title of a DVD comes from the title frame. (Keep in mind that the DVD menu is not the title frame). Alternatively, RDA does allow one to transcribe a title that is permanently affixed to the resource (such as disc label or container title). Allow this if found in a record; however, only change the title if it misleading or incorrect. If the title comes from anywhere other than the title frame, create a 500 note explaining the source of the title.

RDA only requires you to transcribe the first statement of responsibility that is included in the credits. This should be an individual or group that is responsible for the creation of the entire resource, not simply a performer, composer, or conductor. Producers and directors are most appropriate for this kind of statement of responsibility, as well as production companies. Do not feel compelled to transcribe a statement of responsibility if none is appropriate.

246 Alternate title

If the title found on the disc label or the DVD container differs substantially from the title from on the title frame of the recording, add the alternate title in a 246 field. Indicate where the alternate title is coming from.

260 Imprint. 260 fields are almost never used in RDA; the information formerly contained here has been moved to the 264 field (see below).

264 Publication, etc. The 264 field is used to record multiple pieces of information related to the publication and distribution of the work.

Multiple 264 fields can be combined to describe an item's publication, distribution, and copyright information. Check these carefully to make sure each applies to the proper field. Remember that distributors are not publishers, and that a copyright date is not a publication date. The publication date will be in brackets if only a copyright date is visible.

Many video recordings have no publication date. If only a phonogram date is present, make sure this date is present in a 264_4 field and include the date in brackets in a 264_1 field (see above example).

The abbreviations such as "s.l." and "s.n." have disappeared. There will be more user-friendly phrases, such as "place of publication not identified" or "date of distribution not identified". Additionally, the publisher will be transcribed as it appears on the resource; there will no longer be abbreviations such as "pub." or "co." unless it is written that way on the item in hand.

It is no longer necessary to add U.S. cities to the places of publication; the first or prominently named place will be the one used.

300 __ Physical Description.

In the $b subfield, the words "sound" and "color" are no longer abbreviated as "sd." or "col.". Instead, spell them out.

Example:

33X fields are used to describe the item in a way that can be read by machines. For DVDs, these fields will most likely look like this:

336 _ _ two-dimensional moving image $b tdi $2 rdacontent
337 _ _ video $ v $2 rdamedia
338 _ _ videodisc $b vd $2 rdacarrier

These should always be present in an RDA DVD record.

34X fields are used to describe aspects of digital items in a way that can be read by machines. For DVDs, these fields will most likely look like this:

344 _ _ digital $b optical $g stereo $2 rda

346 _ _ $b [NTSC or PAL] $2 rda

347 _ _ video file $b DVD video $e [region] $2 rda

Add these fields if not present. Remove the "$g stereo" if the item is not confirmed to be a stereophonic recording.

In the 346 field, you must determine whether or not the item is in NTSC or PAL format. If this is not on the container or booklet, there is an easy way to check. Open the disc in VLC player and go to Tools > Codec Information. Look at the frame rate; a frame rate of 50 is PAL, and a frame rate of 59.940059 is NTSC.

Add the region in 347 $e if it is easily discernable; delete if not.

500 Note field

If available, include the aspect ratio in a 500 note field. Do not go digging for this information if it is not easily obtainable.

500 _ _ Dolby digital 5.1, wide screen 178.1, letterboxed.

508 (Crew) and 511 (Cast) fields

Place all persons related to the technical production of the DVD or performance(director, producer, stage designer, choreographer) in a 508 field. Place all performers (including ensembles and conductors) and actors/actresses in a 511 field.

511 0 _ New York Philharmonic Orchestra, James Levine conducting ; Wesley Willis, tenor.

650 Subject fields

Subject headings will no longer use the word "violoncello." Instead, the word "cello" will be used:

650 _ 0 Cello and piano music.

700 Added entry field

The 700 field will container $e relationship designators. All names in a 245 $c, 508, and 511 field should be present in a 700 field. Each should receive a $e relationship designator. There are many of these terms, including:

Do not add any relationship designators to names in 700 field if not present. Correct any obvious errors.

Example:

700 1 _ Bell, Joshua, $d 1967- $e performer.

710 Added entry corporate field

710 fields work like 700 fields, except they deal with ensembles, companies, and other "corporate entities." All $e relationship designators should function in the name manner as the 700 field. "Production company" is an additional $e relationship designator that may be used.

710 2 _ New York Philharmonic, $e performer.

710 2 _ Holden Productions, $e production company.
