Music Cataloging Procedures
Collected Works

Use these procedures for Collected Works (both M2 and M3). Scores in M2 are collected works of musical sources, often centered around a country or era (example: Musica Britannica, Recent researches in music of the Baroque Era). Scores in M3 are collected works of a single composer. Follow the general score cataloging procedures, and add the steps listed here.

The ECU Music Library (since 2012) downloads individual records for all volumes of collected works rather than using set records. (There are a handful of smaller collected works which are adequately represented by a single record.) The instructions here assume you are not cataloging the first volume we have received, ever. If you are cataloging the first volume we have received, ever, the Music Cataloger will need to download a set record, assign a call number, and make sure the series fields (490/800) and 590 note are constructed to set the pattern for later volumes. Consult the LC authority file for assistance with the series statements.

1. 490 series statement

Transcribe from the item in hand. Should be present in the OCLC record already

2. 800 series tracing, including volume numbering

Should present in the OCLC record already. Check against existing volumes in Symphony that the series statement is correct and the volume information is correctly formulated. The LC authority file is the ultimate authority, in case of questions or inconsistencies.

3. Call number (090). Assign a call number, following existing patterns in Symphony, including use of roman vs. arabic numerals, use of Bd. vs. v., etc. In an ideal world, this formulation would match the formulation in 800 $v, but that's often not the case.

4. 590 note (last note)

Copy in from Symphony a 590 note from an existing volume in the set. It will be along these lines:

Joyner-FOR JOYNER MUSIC LIBRARY HOLDINGS OF THE SERIES, Berlioz, Hector, 1803-1869. Works. 1967, SEARCH BY SERIES TITLE OR CALL NUMBER M3 .B52.

Note: some M2 sets do not use 590 notes. In this case, follow the existing pattern and omit the 590 note.

5. Finding the order record

These can be very brief and difficult to find in Symphony. Here is a typical sample. This is the entire brief record.:

6. Call number/item information:

M2 and M3 do not circulate. Therefore, they have different item information, indicated in RED:
